Policies & Procedures

We believe that respect for community, studio spaces, and staff is foundational to our success. To support this, SCCA has created policies and studio guidelines that align with our mission, vision, and values.

Code of Conduct

We are all caretakers of Scenic City Clay Arts’ mission, vision, and safe creative space. How our community treats each other— our studio members, staff, students, instructors, and visitors— will determine how Scenic City Clay Arts is represented to others.

Policies

  • Can’t make it to you class? We understand life happens, so we try to be as flexible as possible with our policy, while making sure we're being fair to our staff and studio.

    Any class cancellation requests must be made by contacting Scenic City Clay Arts at studio@sceniccityclayarts.org.

    Cancellations for classes are only accepted 1 week in advance of your class start date and time.

    If you’re canceling 1 week or more in advance of your class start date, you will receive a full refund, minus a required 4% processing fee.

    No refunds will be offered to anyone canceling less than 1 week before your class start date/time - no exceptions.

    SCCA no longer offers class credits or rescheduling options. Any outstanding credits will be valid through their expiration date.

    SCCA reserves the right to cancel a class at any time. SCCA must have a minimum class size of 4 students. If 4 students are not enrolled, we will inform you at least 2 days before the start date. If SCCA has to cancel a class that is in-progress, students will be offered a refund for the remaining classes.

  • SCCA will hold fired classwork and/or member work for up to 30 days after it has been unloaded from the kilns. Students will be contacted about classwork pick-up via the email address upon class registration within 4-6 weeks after their final class date.

    Any classwork remaining after the 30-day grace period will be considered a donation to SCCA and can be used by SCCA in a multitude of ways - used in our Smash Booth, disposed of, or sold as a donation back to SCCA.

  • SCCA does not offer make-up classes or extra studio time for any class sessions that you miss - no exceptions. If it’s a multi-week class, we encourage you to attend the next scheduled session and our instructor will do their best to catch you up without being too disruptive to the rest of the class. Please refer to our class cancellation policy for missing one-time classes.

    If SCCA has to cancel a class due to instructor illness, weather, or other extenuating circumstance, SCCA will offer a make-up class or a partial refund to cover the cost of the missed session. SCCA reserves the right to choose what option from the 2 above is offered to students for cancelled classes.

  • SCCA Full-Access Members are permitted to bring a guest with them to actively work in the space, under direct supervision and responsibility of the SCCA member. The guest fee is $15 and the guest will only be permitted to work in the space one time only. Session Members are not permitted to bring guests.

    If more than one visit is desired, then a membership will need to be purchased for the individual. SCCA reserves the right to revoke a guest pass at any time if the guest’s activity or behavior does not coincide with our Code of Conduct.

    Please note that non-members cannot make use of this special guest policy. Non-members and students are not permitted to bring guests to work with them in the studio space.

    Visitors are welcome anytime to observe members working, to shop in the Mug Shop, or to take a tour of the studio space, but cannot actively work in the space without being a SCCA member or current student.

  • Upon scheduling of your class or program, you will be charged a deposit for half (1/2) of the total program fee. Deposit must be paid within three (3) business days in order to reserve that date on SCCA's schedule. If deposit is not paid within three (3) business days, the reservation will be cancelled.

    If you cancel your reservation less than 48 hours prior to the scheduled date and time, you will not receive back your deposit.

    If a lesser number of students attend than were priced in the deposit, the final total can be adjusted in the final invoice.

    Final invoice is to be paid at time of program or through online invoice. Final invoice must be paid within three (3) business days of the program date.

    SCCA will not begin firing and completing your ceramics pieces until final invoice is paid.

  • Gift certificates are available for purchase! You can redeem your gift certificate credit for classes, and in-studio clay purchases. Gift certificates cannot be used as a credit for memberships. Gift certificate codes never expire.

    You can elect to send your emailed gift certificate code to yourself or to the gift recipient - your choice! If you would like a physical gift certificate to give, you can stop by the studio to pick one up during open studio hours.

    Purchasing a gift certificate for the cost of a class does not sign up a person for a class or reserve clay. You are purchasing a gift certificate that they can redeem for a product or service.

    Gift certificates can be redeemed online using the automated gift card code that is emailed to you after checkout. Gift certificates can also be used at SCCA’s studio in-person.

  • If a glazed piece causes any damage to our kiln shelves, the member or student will have to pay a kiln shelf damage fee. First offense is $25 and any offense after that is $50. The damage fee can be paid in-studio, or by emailed invoice.

    We charge this fee because when the kiln shelves get damaged by glaze, SCCA staff has to spend significant amounts of time fixing the damage by grinding and chiseling glaze damage, mixing and applying new kiln wash, and re-firing the kiln shelf. This can also cause us to get off track with our firing schedule.

    If you are being charged for kiln shelf damage, you will receive an email from a staff member describing the incident and we will include photos of the damage. You may also be asked to attend a glaze orientation class before we will continue firing any of your work in our kilns. SCCA reserves the right to invoke any other restrictions or requirements for members or students.

  • SCCA does not allow the usage of non-SCCA clay bodies in our studio. You must use the SCCA-approved clay bodies: Speckled Brownstone, Buncombe White, Earthenware Red.

    SCCA allows the use of non-studio glazes, as long as you meet these requirements:

    • All glazes must fire to Cone 6 (2232 degrees)

    • The usage of outside glazes must be pre-approved by the Studio Tech, in-person or via email

    • If a non-SCCA glaze causes significant damage to our kiln shelves, you will be charged a kiln shelf damage fee AND you must immediately discontinue the use of that glaze. Damage only has to occur once for SCCA to enforce this rule.

    We strongly recommend that you make test tiles for your glazes prior to applying them to your work. SCCA is not responsible for the outcome of non-SCCA glazes. Members should keep in mind that not all Cone 6 glazes cooperate with all Cone 6 clay bodies. The member is responsible for purchasing their own unique Cone 6 glazes - SCCA will not provide any for purchase, and will not include them on our studio supply orders.

    Refunds will not be offered for ANY membership purchases, no exceptions.

  • Full-Access Members are given access to a 20% discount code when they sign up for their membership. This discount code is available after your second month’s membership payment has been processed. Members who only join for a single month do not get access to the class discount benefit.

    What’s my code? Your code is the first letter of your first name, combined with your last name and the number 20. For example, if your name is John Doe, your code would JDOE20.

    What can I use the code for? Any adult classes, excluding our one-night Get Your Hands Dirty classes. Discounts cannot be used for youth or family classes, or any non-class purchases.

    How do I use it? It’s easy! Add your class(es) of choice to your cart online and then when you are in the checkout area, there will be a field where you can input your discount code. Your code is not automatically applied, so be sure to enter it in for each purchase. SCCA will not reimburse, refund, or provide credit if you fail to apply your discount code. If you’re having issues with the code, contact us BEFORE you complete your purchase.

    Who can use my discount code? You and you alone. We are putting our trust in YOU to not misuse your discount code. This code should NOT be used for friends or family members to sign up for classes. Misuse of your code looks like:

    • Purchasing a class under your name for someone else

    • Sharing your code with others to use

    What happens if I break the rules? We closely monitor the usage of discount codes, as well as class attendance. If we see irregularities in your discount code usage, your code will immediately be terminated. You will lose that class discount membership benefit, and your membership will be subject to termination.

    This is too complicated - can I just have you do it for me? You can always swing by the studio to sign up for classes in person and we can apply your discount for in-person class registrations.
